Privacy notice
Last updated: 28 October 2026
This notice explains how AFS Books ("we", "us") uses personal information when you make an enquiry, become a client, contact us or use this website.
Who we are
AFS Books is a trading name of Ana Ciuculete, a sole trader, who is the controller of your information. We are registered with the Information Commissioner's Office, registration number ZB903540. Contact: info@afsbooks.co.uk.
What we collect
- What you send through the enquiry form: the type of client you are, your business details (for limited companies and LLPs, the public Companies House record you choose and confirm, including the names and roles of current directors or members), your name, role, email address and phone number, your sector, the software you use, the services you need and the answers to the questions about those services, and your declaration. The form only asks the questions that apply to your answers.
- What you send by WhatsApp or email.
- If you become a client: the financial records and documents needed to keep your books, and the identification needed for anti-money-laundering checks.
- If you accept statistics cookies: how this website is used (pages visited, device type, approximate location), through Google Analytics, and which companies visit, from the network address of the visit, through Leadfeeder.
Why we use it, and the legal basis
- To reply to your enquiry, prepare a quote and provide the services you engage us for: steps you asked for before a contract, and the contract itself (UK GDPR Article 6(1)(b)).
- To carry out anti-money-laundering checks and keep the records that tax and money-laundering law require: legal obligation (Article 6(1)(c)).
- To keep this website secure and working: our legitimate interests (Article 6(1)(f)).
- To understand how the website is used, only if you accept statistics cookies: your consent (Article 6(1)(a)), which you can withdraw at any time.
We don't use your details for marketing and we don't sell them.
Who helps us
These providers handle information for us, only on our instructions:
- Cloudflare, which hosts this website and processes form submissions.
- Companies House, the public register we search when you look up your company in the form (only the company name or number you type is sent).
- Resend, which delivers the enquiry form to our email inbox.
- Afaceri Diaspora Ltd, which built and maintains this website and keeps a copy of form messages so none are lost.
- Microsoft, which provides our email, and WhatsApp (Meta), when you contact us that way.
- Google, for website statistics, only if you accept statistics cookies.
- Leadfeeder (Dealfront), to show us which companies visit the website, only if you accept statistics cookies.
- Our cloud accounting software, such as Xero, when you are a client.
Some of these providers may process information outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum.
How long we keep it
Enquiries that don't lead to an engagement are deleted within 12 months. Client records are kept for as long as tax law requires, and anti-money-laundering records for five years after our business relationship ends, as the Money Laundering Regulations 2017 require.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, object to how we use it or ask us to restrict it. Email info@afsbooks.co.uk. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
